How to setup signatures in Gmail website and the Android app


Something that we often do, to initiate a formal conversation is, send an email. No matter whether you are a student; professional, working from home, or office, sending emails is relevant everywhere today. At the end of every email that we send, it is a good practice to add a signature, to help others understand who you are, and what your designation is so that the recipient can act and reply accordingly. 

If you send multiple emails every now and then, adding the signature line as the footer of the email can kill precious time, and that’s when you need to automate the process of adding a signature to every email that you send. So, today I will basically talk about how to setup signature in Gmail to save essential time, and automate the process lest you forget to add the signature.

So, without any further delay, let’s get started with how to setup signature in Gmail on both web, and the Android app.

How to setup signature in Gmail website?

On the Gmail website, click on the settings cog on the top-right corner of the UI, beside the help question mark, to open some general and quick settings, and then click on ‘See all settings’, as shown in the screenshot below.


By default, you will land on the ‘General’ page, where you can tweak some general settings. Scroll down to find ‘Signatures’, and tap on ‘Create new’, just under ‘No signatures’.


Now, you have to assign a name to your signature. 

Say, for example, you use the same Google account at your work, university, and everywhere else, with different designations, you can create multiple signatures for every designation, so as to choose the specific signature based on the purpose of the email.

For convenience, I am setting ‘Default’ as the name of the signature. You choose your own, and click on ‘Create’.


Now, type in the signature. Here, you format your signature in any way you like. You can change the font style and size, color, and everything else. Furthermore, you can add images, and links, to make your signature more authentic.

After you are done, you can again click on ‘Create new’ to add another signature or click on ‘Save Changes’ to get back to Gmail.



So, that’s how to setup signature in Gmail web.

How to setup signatures in Gmail app?

If you use Gmail, mostly on the app, you can set just one signature for the Gmail mobile app, as well. However, unlike that the Gmail website, there aren’t enough customization options you set a signature on the Gmail app. So, let’s find out how to setup signatures in Gmail app.

Open the Gmail app on your Android device, tap on the hamburger icon on the top left corner of the app, and then scroll down to tap on ‘Settings’.



Now, tap on the Google account for which you want to set a signature.



Scroll down to tap on ‘Mobile signature’ under ‘General’. By default, no signature is set for the Gmail account on your Android.


Now, type in the signature, and tap on ‘OK’.


In a similar way, you can set a Gmail signature for all the Google accounts that you are logged in to on your Android.

Just like I said in the beginning, you can add just one signature to your Gmail account on your Android. If you have multiple devices, you also have to set the signature individually on every single device. So, there aren’t enough options and convenience to set signatures on the Gmail app.

Using saved signature on Gmail website

Now that you know how to setup signatures in Gmail, here’s a brief guide on how you can use your save signature while sending an email. Simply start composing a new message, or attempt replying to an existing message.

While typing, click on the ‘Insert signature’ icon, as shown in the screenshot below, and select one of the saved signatures that you want to use for the specific email.


While on the Gmail app, the signature will automatically appear.


However, if you are sending an email, where none of the signatures apply, you can always edit the signature for individual emails, both on the website, and the app.
